English is the official language of this policy. Translations, where shown, are for convenience only.
The short version: WholeRun and WholeRun GO have no account, no tracking, no analytics and no advertising. Your productions and shows stay on your computer, in the files you save. Jay Bay Creates LLC never receives them. The only things that reach us are emails you choose to send us, and the sales and crash figures Microsoft gives every Store publisher (section 6).
1. Who we are
Jay Bay Creates LLC makes WholeRun and WholeRun GO. You can reach us at contact@wholerun.app. This policy covers both programs (including WholeRun Viewer and the actor tool WholeRun makes) and our website wholerun.app.
2. What the programs collect
Nothing. Neither program sends us your productions, scripts, notes, contact lists, cue lists, sound or video files, usage, crash reports or any identifier. We don’t use cookies, analytics or advertising in the programs.
3. What stays on your computer
- Your production and show files are saved where you choose.
- The program’s own storage on this computer (in a web browser, that browser’s storage) keeps automatic backups, the crash-recovery copy of unsaved work (including its clips, voice notes, photos and script PDF), the sounds, videos and images WholeRun GO plays, and your preferences: theme, text size, language, your name for the change history, workspaces, favorites, panel layouts, the recent-files list, linked rehearsal-video locations and whether you have read the license agreement. Uninstalling the Windows app, or clearing the browser’s site data, removes them.
- Your suggestions for us are kept in your production file until you choose to send them.
- The actor tool keeps an actor’s note checkmarks in that actor’s own browser. They aren’t sent to anyone.
4. When something leaves your computer (only if you choose)
- Email drafts open in your own email program or webmail. The programs never send email and never connect to your email account.
- Feedback and problem reports are email drafts addressed to us. Before anything goes out you see the exact email. Script text, contact details, people’s names and production details are replaced with “[left out]” unless you tick to include them, and medical notes are always left out. Technical details (the program version, your browser and Windows version, window size and zoom, and recent error messages) are listed in plain words and each can be unticked. A screen picture is included only if you add one. You send the email yourself.
- The AI assistant in WholeRun is off by default. If you turn it on, the questions you ask and the production details you choose to share are sent to the AI service you connect (such as Anthropic or OpenAI), or to an AI program on your own computer. That service’s privacy policy applies. Your service key is kept only in the program’s storage on this computer, never in your production file. Contact details and script text are not shared unless you tick them, and medical notes are never shared.
- The Microsoft Store checks your license or trial (section 6).
- Checking for updates, in copies that don’t come from the Microsoft Store, downloads one small file from wholerun.app. It sends no information about you or your productions; like any web request, our host may see your IP address. Automatic checks are off unless you turn them on.
- Sharing files (production files, Viewer copies, actor tools, reports, caption files, show packages) happens only when you send them yourself. Viewer copies, slim copies and archives leave out medical notes unless you tick to include them.
5. Information about other people
Productions often hold personal information about cast and crew: contact details, pronouns, availability, measurements, emergency and guardian contacts, medical notes, working hours, and sometimes details about minors. When you enter this information, you (or your organization) decide what is collected and how it is used, and you are responsible for it; we never receive it. Please collect only what you need, get any consent you need, keep files secure, use department or slim copies when someone only needs part of a production, and follow the laws and policies that apply to you, such as school or district rules and student-privacy laws. Medical notes are shown only on the person’s own page after “Show private details” and on the Emergency & medical report.
6. Our website, purchases and Microsoft
- Website: wholerun.app uses no advertising, tracking cookies or analytics, and its fonts and videos are served from our own site. Our host keeps standard server logs (such as IP address, browser type and pages requested) for security and to keep the site running, for up to 30 days.
- Purchases and trials go through the Microsoft Store. Microsoft processes your name, account, billing and payment details under the Microsoft Privacy Statement. Microsoft gives us sales and acquisition reports (such as country, date, amount and number of installs), not your payment details or contact details. The license check is between the program and Microsoft and includes nothing from your productions or shows.
- Crash and reliability reports from Windows: like every Microsoft Store publisher, we can see reports Microsoft compiles from Windows diagnostic data, depending on your Windows diagnostic settings: counts of crashes and hangs, the program version, device type and model, Windows version, market, and the technical location of a failure in the program’s code. We use them only to fix problems. They don’t include your name or your productions. Microsoft’s privacy statement covers how Windows collects this data, and you can change it in Windows Settings › Privacy & security › Diagnostics & feedback.
- Emails to us: when you contact us or send feedback, we use your message, email address and anything you attached to help you and to improve the programs, and keep the conversation for up to 3 years.
- Product news: we only send marketing emails if you sign up for them, and every email has an unsubscribe link.
7. What we never do
We don’t sell or rent personal information, share it for targeted advertising, or use it to train AI models.
8. Your rights
Depending on where you live (for example under the GDPR in the EU and UK, or state privacy laws in California and other U.S. states), you may have the right to ask what information we hold about you, to correct or delete it, to receive a copy, and to object to or limit how it is used. Email contact@wholerun.app; we will reply within 30 days and won’t treat you differently for asking. If you are in the EU or UK you may also complain to your data-protection authority. Because the programs send us nothing, the only information we can hold about you is from emails you send us and the reports Microsoft gives us (section 6). For purchases, your Microsoft account is where you see and manage your order history.
Legal bases (EU/UK): performing our contract with you (licenses and support), our legal obligations (tax records), and our legitimate interests (keeping the website secure and fixing problems in the programs).
9. Children
The programs are made for adults running productions and shows, including teachers and directors working with young performers. They are not directed to children under 13, and we don’t knowingly collect information from them. Information about student performers that a school or director enters stays in their files and is never sent to us.
10. Security
Because your productions never reach us, their safety depends on where you keep them. Store files on a computer and backup drive you trust, use your device’s password and encryption, and be careful when emailing files that hold personal information, especially guardian contacts and medical notes.
11. Transfers
We are based in the United States. Information from emails you send us or from Microsoft’s reports may be processed in the United States and by our providers (such as our email and website hosts) in other countries, with safeguards required by law.
12. Changes
If we change this policy we will update the date above and, for important changes, say so on our website and in the programs’ What’s new.
